• If you or your child is experiencing a mental health emergency (active suicidal intent, danger to self or others, severe behavioral crisis):

  • Under Washington State’s Involuntary Treatment Act (RCW 71.05), individuals who present a danger to themselves, others, or are gravely disabled due to a behavioral health condition may be evaluated by a Designated Crisis Responder (DCR) for possible involuntary detention. Our practice does not provide emergency or after-hours crisis services.

Yes, we are accepting clients 5–30 years of age.

  • The first step is to provide us with information by completing the new patient screen via our HIPAA-compliant EMR 

  • After receiving your information, we will verify your benefits with your insurance within 72 hours. Once verified, we will send your details to our providers, which may take an additional 2 to 5 business days. If approved, your first appointment could be scheduled up to two months in advance. In case of cancellations, we will contact patients for earlier availability.

  • Our support staff will send you an invitation to set up our patient portal. Setting up the portal is crucial, as all subsequent steps will depend on its completion. This includes filling out intake paperwork, messaging our staff, and requesting appointments and prescription refills.

  • Payment is due at the time of service. Butterfly Psychiatry requires you to have a valid, active payment card on file to charge for your appointment on the day of the visit. If you do not provide your payment information, your appointment may be canceled.

  • Child/Adolescent/Adult Intake -Intake appointments take 90 minutes to complete. At the initial intake, if a child is under 13, a parent/guardian must be present.
  • First Follow-Up: The first visit after an intake can take up to 60 minutes to complete. Subsequent visits, including medication follow-ups, typically last between 30 and 60 minutes, depending on complexity.
  • New Patients complete the screen form via Valant Patient Portal

  • Established Patients: Your provider will usually schedule your follow-up appointment during your visit. However, if you need to schedule a followup, please request one on the MYIO Patient Portal

Setting up the MYIO Patient Portal is part of your responsibilities as a patient. This portal allows you to receive appointment reminders and ensures we can support you fully in accordance with HIPAA policies and procedures.

Once we receive your email or voice message with the requested information, we will forward the request to your provider for review if needed. Please allow 72 hours for our response.
  • Step 1: Contact your pharmacy to confirm whether you have any refills remaining on file. You can request a refill directly through them; the pharmacy will then contact our office for approval if needed.

  • Step 2: If the pharmacy cannot process the request, please send a message through the Valant Patient Portal. Ensure the portal account used for the request is associated with the specific patient needing the medication.


Important Medication Policies

  • Appointment Continuity: To maintain access to medication refills, patients must be seen for a follow-up appointment at least every 90 days. Please keep this in mind before canceling or rescheduling.

  • Dosage Changes: Requests to increase a dosage or change a medication require an appointment. Please contact our team to schedule a visit with your provider to discuss these needs.

  • International Travel: Traveling with controlled substances (such as stimulants for ADHD, sedatives for sleep, or anxiety/pain medications) may be restricted. Butterfly Psychiatry requires at least two weeks’ notice to provide a travel letter; we cannot provide urgent or last-minute documentation. We recommend checking U.S. Embassy and airline regulations, keeping medications in their original containers, and declaring them at customs.
Notify us immediately and update your insurance through the patient portal. We verify your new insurance, and we may find you’re no longer in-network. You might become eligible to self-pay, or we may need to transfer you to another provider or refer you elsewhere.
After you submit your insurance information to our office, one of our insurance specialists will perform a “Verification of Benefits” based on the details you provided. We will contact your insurance carrier(s) to get a quote for your outpatient mental health benefits at our practice. A quote of benefits is not a guarantee of payment from your insurance. This verification of benefits is a courtesy service; it is your responsibility to contact your insurance company to understand your outpatient mental health benefits.
  • Excluded Services: We do not provide services, including but not limited to, court- or employer-mandated evaluations, parenting or custody assessments, letters for gender-affirming surgeries, and paperwork for FMLA, L&I, or other legal-medical purposes.

  • Administrative Fees: A $50 fee per 15-minute interval applies to administrative tasks. These include, but are not limited to, school or accommodation letters, letters of medical necessity, and consultations with outside providers (such as therapists or school personnel). Please note that these tasks are not covered by insurance.

To send records to another provider, complete and return a release of information (ROI) form, which lets you choose what to release, who receives it, access duration, and conditions. Request the ROI form, or provide your email when you visit. Butterfly Psychiatry does not charge for record transfer. If your ARNP needs to write any professional letters or complete occupational forms, you pay a minimum of $50 per 15-minute interval, paid in advance with a week’s notice.

  • You will pay for any outstanding costs through the MYIO Patient Portal.

  • A deductible is the amount you pay out of pocket before your insurance begins to cover your healthcare costs. It resets each year, and after your deductible is met, your insurance’s contribution depends on your co-insurance. We collect the estimated deductible at the time of your visit.

  • Credit Card Update: Our scheduling software automatically removes saved card details to ensure your financial security. Please avoid leaving your card information in a voicemail or sending it via email, as these methods are not secure. To update your credit card information, use the MYIO patient portal.

  • The 90-Day Rule: To maintain access to medication refills, all patients must see their provider at least every 90 days. Please prioritize your appointments to prevent interruptions in your care or medication supply.

  • Cancellation Policy: If you cancel your appointment with less than 24 hours’ notice, or do not show up, you will be charged the full cancellation fee.

  • How to Reschedule: To reschedule, please request an appointment through your MYIO portal or by emailing us at admin@butterfly-psychiatry.com well in advance of your desired date.

  • Emergency Refills: If you are out of medication when requesting to reschedule or cancel an appointment, a partial refill may be sent to your pharmacy at the provider’s discretion.

Patients are responsible for settling their outstanding balances, which can be paid via the portal and are due at the time of the visit. We will contact you via phone and email regarding any outstanding balances. If we do not receive a response after three attempts to reach you, we reserve the right to cancel your appointment until the payment is settled.

You can update your credit card information through the patient portal. Only share your payment details when speaking directly with our staff. Avoid leaving your card information on voicemail or sending it via email, as these methods are not secure ways to communicate this information.

  • Care for severe mental illnesses that require intensive outpatient treatment, inpatient care, or coordinated specialty care (e.g., active psychosis, schizophrenia spectrum disorders with instability, or acute mania that requires hospitalization)
  • Court-ordered or forensic evaluations
  • Custody evaluations
  • Autism diagnostic evaluations or comprehensive neuropsychological testing
  • Treatment for dual diagnoses
  • Primary substance use detoxification or intensive outpatient programs
